We are happy to announce that the official registration for Protostars and Planets VII (PP7) is now open. We are now accepting payment of the registration fee and poster abstract submission for the in-person meeting on April 10-15, 2023, in Kyoto, Japan.

Registration System

We use the AMARYS registration system of JTB which is a travel agency supporting PP7. The registration is in three steps: (1) Account registration, (2) Payment of registration fee, and (3) Poster abstract submission.

  • Account registration

If you have already done this process, you can skip to the next step. If you have not registered before, open the registration website from the “Start Registration” button at the bottom of this page, and then click the Next Button in the New Registration section at the bottom left panel. Here we collect your personal information, including background information about one of (co-)authored papers or a reference person. This was formerly necessary for the border control measures as Japan suspended the visa exemption program. Now the border is open and therefore it is not officially needed anymore for most participants, but we would appreciate your cooperation so that we can be prepared for unexpected changes of situations.

Once your registration is approved, an account for Mattermost, the online discussion platform, will be issued. Please note that it may take several days for issuing the Mattermost account. While the deadline for providing feedback for the review chapters has passed, we will use this platform for discussions and communications during the in-person meeting. The registered participants will receive announcements from the PP7 organizers by email. Allow emails sent from the domains jtb.com, ppvii.org, and mm-ppvii.org. Upon the registration, we ask all participants to read and abide by our Code of Conduct.

  • Payment of registration fee

We ask all the participants to make payment of the registration fee before the in-person meeting. The deadline for early-bird registration is February 15th, 2023, and the deadline for regular registration is April 5th, 2023.  If you do not make payment before the deadline, your registration will be canceled.  We accept all major credit cards. We offer discounts for early-career participants and for early-bird registration as shown below. For those who have recently graduated or moved to new positions, pay the fee in accordance with your position at the time of payment.

To make payment of the registration fee, log-in to AMARYS and click “New/Additional Application” button in the Registration section near the bottom of My Page. We also collect the shipping information for Protostars and Planets VII Book here, and it will be shared with the publisher, Astronomical Society of the Pacific (ASP).

The maximum number of participants depends on the COVID-19 guidelines at the time of the in-person meeting but we expect we can host at least 1000 participants (note: we already have more than 600 registered participants).  Once the number of the registered participants exceeds the capacity of the conference venue, we will put you on the waiting list. Registration is on a first-come-first-served basis. In order to secure your seat, please make payment at your earliest convenience.

While we will provide the online discussion platform using Mattermost to the registered participants, PP7 is an in-person meeting and we do not offer an online-only participation option.

  • Poster abstract submission

Following the traditional style of the PP series, all the oral presentations are pre-selected review talks tied to the review chapters. We are now accepting poster presentations. The title and abstract of the poster presentation can be submitted through the AMARYS system with the deadline of February 15th, 2023. Note that you can submit the poster abstract by February 15 and you can pay the regular registration fee later by April 5. To start the submission process, log-in to AMARYS and click the green “Abstract: Add/Confirm” button on My Page. The poster abstract should be less than 300 words and the number of posters is limited to one per person.  We request participants to choose a category and a subcategory that is most relevant to your topic so that we can layout the posters in the room effectively.  If you do not choose a subcategory, your poster will be automatically put into the “Other” subcategory.  The poster size will be A0 in a portrait layout.

All the poster presentation will be accepted by default, as long as it is relevant to the context of the PP7 meeting.  If we receive poster presentations exceeding the capacity of the poster room, we will switch posters during the week of the meeting.


Visa Support (Updated on November 16th, 2022)

Childcare Services (Added on February 27th, 2023)

We provide childcare services at the conference. The childcare is available at the conference site and available from 9am to 18pm every day. The fee for childcare per family per day is:

10,000 JPY for All Day (9am-18pm)
5,000 JPY for AM Only (9am-13pm)
6,000 JPY for PM Only (13am-18pm)

Financial Support (Updated on February 1st, 2023)

We do not provide financial support to individual participants. While we received grants from some organizations, we decided to use these grants to minimize the registration fee, especially for PhD students and early carrier postdocs, rather than to provide special support for a small number of participants. Thank you for your understanding.


Accommodation

The conference venue is next to Kokusaikaikan station on the end of the subway Karasuma line. There is only one hotel near the venue and it is expensive. Therefore, we recommend finding a hotel along the subway line. There are many hotels near the center of Kyoto, like Karasuma-Oike and Shijo stations as well as Kyoto station. As Kyoto is a popular tourist destination in Japan and mid-April is a good season for sightseeing, we strongly recommend early booking of your hotel.
